Schedule Preset Reports

Create a Schedule

A schedule is a way to receive scheduled updates of a Preset Report via email at a fixed reporting frequency (for example, 1st Monday of each month). Preset Report Viewers, Editors, and Owners can create a schedule. It's also a great way to share your Preset Report.

To create a schedule...

  1. From the Auto Insights Home page, select the 3-dot menu next to your Preset Report and then select Schedule > New Schedule.

  2. Enter a Name for your schedule.

  3. On the Occurance tab, configure the schedule Frequency (for example, Daily, Weekly, or Monthly).

  4. You are automatically subscribed as the creator. 

  5. Select the Recipients tab to search for a name or email address to add other users to the schedule.

    1. If your Preset Report contains dependencies, select Manage to manage dependency sharing.

      • There are 2 tabs: Alteryx One data and Auto Insights data . The number of dependencies is in parentheses.

      • The banner is red if the dependency will not be shared. Request access to share.

      • The banner is blue if the dependency will be shared. Clear the checkbox Share All Cloud Dependencies to stop sharing.

  6. Select the Email Settings tab to edit the Email Subject and add a personalized message.

  7. Optional: To view a PDF preview of your Preset Report, select Download.

  8. Select Schedule.

Delete or Edit a Schedule

Preset Report Editors and Owners can delete or edit a schedule. Before you delete it, make sure no users are subscribed to it.

To delete a schedule, select Schedule from the 3-dot menu next to the Preset Report to open the Schedules dialog. Then select the 3-dot menu next to the schedule and want to delete and select Delete.

Frequently Asked Questions

Who can subscribe?

Users who have an Auto Insights account in the same Organization. Everyone can subscribe to and unsubscribe from an existing schedule. The person who created the schedule is the owner of the schedule and can add or delete subscribers.

How do I unsubscribe?

Select the unsubscribe link at the bottom of your summary email. The link takes you to the Preset Report Summary page. To unsubscribe, select Schedule > 3-dot menu > Unsubscribe me.

Why can't I add my colleague to the schedule I created?

Ensure that your colleagues have an Auto Insights account.

Can a Preset Report have more than 1 schedule?

Yes, you can have multiple schedules for different stakeholder groups at different frequencies.

What happens if I delete a Preset Report?

Auto Insights deletes all schedules tagged to that Preset Report as well.

What are the supported email clients?

Outlook Desktop 2016 and newer, Outlook 365, Outlook Browser, and Gmail.

Can you send a schedule on the same day you create it?

Yes, you must set the schedule for later the same day and do so before the scheduled time. For example, if it’s 3 PM and you set the schedule for 4 PM, the system will send it as expected. But if it’s 5 PM and you try to set the schedule for 4 PM, the system will wait and trigger it at 4 PM the next day.
