Data Labels and Asset Certification
Asset Certification enables Workspace Admins to define and manage Data Label categories, including their values and descriptions. Admins can add new labels, as well as enable or disable existing ones to support governance, compliance, and software development life cycle (SDLC) requirements within a workspace.
Any user with the Editor role and the Data Labels capability assigned to their role can apply data labels to assets. Users with the Viewer role can see applied labels and use them as filters when browsing asset lists.
Data Label is version-specific. When an asset changes and a new version is created, you must certify the new version using Data Labels before users can consider it trusted.
Asset Certification
Asset Certification introduces these capabilities:
Two types of Data Labels are available within a workspace:
System-Defined Data Labels: These labels are built in and cannot be permanently removed. However, Workspace Admins can disable them if they are not needed for their workspace. Go to System-Defined Categories and Data Labels for more details.
Custom (User-Defined) Data Labels: Custom data labels allow organizations to create and manage their own categories and values. Workspace Admins can define label categories, add or modify values, provide descriptions, and fully manage these labels, including enabling or disabling them as needed. Custom labels provide flexibility to support governance, compliance, and organizational standards specific to your workspace.
Users with the required role and Data Labels capability can assign Data Labels to assets directly from the Asset list page.
Data Labels are displayed in the Asset list view and the Asset details page.
Role-based access control (RBAC) for managing and applying certification.
Automatic invalidation of certification when a new asset version is created.
Audit events and telemetry for certification actions.
Data Labels apply to supported assets in a workspace. The list of supported asset types will evolve as Data Labels' capabilities expand.
System-Defined Categories and Data Labels
The following system-defined data label categories and values are available by default:

How Data Labels Work
Workspace Admins can use system-defined data label categories to support governance. For system-defined categories and values, the Category Name and Category Values are not editable - only the Description field can be updated.
For custom (user-defined) data labels, Workspace Admins can create and fully manage their own categories and values, including defining names, values, and descriptions.
Editors with Data Labels capability can apply a Data Label to a specific asset version.
The platform stores Data Label metadata with that version.
When a new version is created due to changes in asset content, Data Labels do not carry over.
Note
Metadata-only updates do not create a new version or asset certification.
Data Label Status
Assets can have Data Labels applied to indicate status, governance, or other organizational classifications. Certification is one example of a system-defined Data Label category.
Certification Status
Each asset version has a certification state:
Certified: Indicates the asset version has been marked as trusted.
Not Certified / Needs Review: Indicates the asset version has not been marked as trusted.

This same behavior applies to other Data Label categories, including custom (user-defined) labels created by Workspace Admins.
Configure Data Labels
Workspace Admins configure Data Labels in the Data Labels Management Console. Users use these values to certify the assets.
To create a new Data Label…
Go to Workspace Admin.
Select Governance from the left panel.
Select Data Labels. A list of existing, pre-defined categories is displayed.
Select +New to create a new Data Label.
A dialog box is displayed with the following fields:
Category: Select from one of the following:
Select an existing category from the dropdown list (for example, Compliance).
Create a new category by typing a new name in the Category field.
(Optional) Select Only one label from this category can be applied at a time if you want to restrict users to a single label value within this category.
Note
This setting cannot be changed for existing categories.
Name: Enter a label name for the Data Label. The name must be unique within its category.
Description: Enter a description that is displayed throughout Alteryx One.
Select a color or icon for the defined Data Label to visually identify it.
Select Create.
After creation of the Data Labels:
A confirmation dialog displays that the category or data label was successfully created.
If the action fails, an error message is displayed, and you can try again.
The saved Data Labels are displayed and available in the Library list views. For more details about how to use Data Labels, go to Data Labels and Asset Certification.
Modify Data Labels
Workspace Admins can edit, disable, rename, or delete Data Labels.
To modify the Data Labels...
Go to Workspace Admin.
Select Governance from the left panel.
Select Data Labels. A list of existing, pre-defined categories is displayed.
Select the three-dot icon of the Data Label that you want to modify.
The available actions depend on whether the label is system-defined or custom.
Edit a Data Label
To edit a Data Label…
Select the three-dot menu next to the label.
Select Edit Label.
In the dialog:

For system-defined categories and labels, the Category Name and Label Values cannot be renamed. Only the Description can be edited. Custom labels can be fully modified.
Update the Name (custom labels only).
Update the Description.
Change the color, if needed.
Select Save.
Rename a Data Label (Custom Categories Only)
To rename a Data Label...
Select the three-dot menu next to the Data Label.
Select Rename Category.
Enter the new name.
Select Save.
Note
System-defined Data Labels cannot be renamed.
Disable a Data Label
Disabling a Data Label prevents the label from being applied to additional assets.
To disable a Data Label...
Select the three-dot menu next to the Data Label.
Select Disable Label.
Review the confirmation message:
If the label is applied to assets, it will remain on those assets.
The label cannot be added to new assets while disabled.
Click Disable to confirm.
Delete a Data Label (Custom Labels Only)
To delete a Data Label...
Note
System-defined Data Labels cannot be deleted.
Select the three-dot menu next to the label.
Select Delete Label.
Review the confirmation message:
If the label is applied to assets, deletion will permanently remove it from all current versions of all affected assets.
This action cannot be undone.
Select Delete to confirm.
Configure Certification Roles and Capabilities
The asset certification process uses dedicated capabilities to control who can certify assets and manage certification. Workspace Admins assign only the permissions required to support governance while maintaining appropriate separation of responsibilities.
Workspace Admins can define and manage access through the following personas:
Workspace Admin (with dedicated capability): The Workspace Admin is responsible for managing data labels and certifying the assets. They can create and manage data labels and enable or disable certification settings in the Workspace Admin Console. This allows organizations to limit which Workspace Admins have control over certification configuration and governance policies.
Editor (with dedicated capability): Editors can apply data labels and certify assets from within the Library and other supported access points. This enables distributed certification while maintaining control over who can assign labels.
Viewers: Users with Viewer access can only view certification statuses and data labels, but cannot modify or assign them.
Create and Assign a Role
To create a role with asset certification capabilities…
Navigate to User and Access Management.
Select Roles.
Select +Create Role.
Select a Seat Type from the following user types:
Basic User
Full User
Viewer
Enter a role name and optional description.
Select Edit role Capabilities from the displayed options.
Under Alteryx One, go to Governance.
Select the appropriate Data Labels capability.
Select Save.
Assign the role to users.
Manage Certification Schema
Workspace Admins can manage the certification schema within a workspace through a dedicated capability.
Capability: Data Labels
Workspace Admins can:
Configure and assign certification values in Data Labels from Library list views.
Edit, disable, or delete certification values.
Note
Only users with the appropriate capability can access the Workspace Management Console to create and manage Data Labels.
Users without this capability (including standard Editors and Viewers) cannot manage Data Label categories or values.
Certify Asset Versions
Capability: Data Labels
Users with this capability can:
Access the Data Labels option to certify assets.
Apply, update, or remove Data Labels on asset versions.
Note
Data Labels can only be applied, updated, or removed on the current (latest) version of an asset. Historical versions are read-only and cannot be modified.
Users without this capability cannot view or use Data Label actions.
