Collaborate using Shared Connections

Share Access Levels

When you share a connection, you can grant one of the following access levels:

Viewer

Users with Viewer access can use the connection to run workflows but cannot view, modify, or manage the connection.

Use this access level when users only need to execute workflows that use the shared connection.

Editor

Users with Editor access can view and use the shared connection when creating or editing workflows.

Editor access can be granted in one of two ways:

With credentials: Users can use the connection with the credentials provided by the connection owner.
Without credentials: Users can view and select the connection, but must provide their own credentials before they can use it. Their credentials are stored separately and reused for future connections.

Note

Viewer and Editor access replace the previous Execution Sharing and Collaboration Sharing models. The underlying sharing behavior remains the same.

Sharing with Multiple Users

You can share the same connection with different users or groups using different access levels. Each share is managed independently. Changing one user's access does not affect the permissions assigned to other users or groups.

For example, you can grant Viewer access to users who only need to run workflows. You can also grant Editor access to users who need to build or modify workflows using the connection.

Shared Credentials

Credential visibility depends on how the connection is shared.

If a connection is shared with credentials, users can immediately use the connection without supplying their own credentials.
If a connection is shared without credentials, each user must provide and maintain their own credentials. This includes updating passwords or renewing authentication tokens when required.

Shared credentials are encrypted while stored, but any user authorized to use a shared credential should be considered capable of accessing the underlying secret. Only share credentials with users you trust to use and safeguard them.

Stop Sharing a Connection

Connection owners and users with sufficient permissions can remove access to a shared connection at any time.

When access is removed, the user or group can no longer use the connection. If all shares for a connection are removed, the associated sharing information is automatically cleaned up.
