Asset Configuration

Use the Asset Configuration section to create custom fields, assign custom fields to an asset type, and set a custom field value to an asset. Also, you can set the primary name for an asset and change the weight of an asset.

Asset Types

In the Asset Types tab, you can:

  • Change the primary name of an asset.

  • Change the weight of an asset.

  • Assign different types of custom fields to an asset.

Primary Name Usage

To specify how data assets are displayed in Search, set Primary name usage.

  • When Primary name usage is set to Alternative name (Entry name), the name of the data asset is displayed as Alternative name (Entry name) in Search.

  • When Primary name usage is set to Entry name (Alternative name), the name of the data asset is displayed as Entry name (Alternative name) in Search.

To change the primary name, follow these steps:

  1. Navigate to Administration.

  2. Go to Asset Configuration > Asset Types.

  3. Select the desired asset type for which you want to change the primary name.

  4. Select the required primary name in Primary name usage. Default value is Alternative name (Entry name).

  5. Select Save.

Alternative name is the name of a data asset you can specify in the Alternate names field. See Understand Assets. The entry name is the loaded data asset name.

Change Weight of an Asset Type

Weight represents a number given to increase or decrease the importance of an asset type. It is used when you search for an asset as the scoring of the search results.

To prioritize the asset type for search results, edit its weight. The bigger weight number, the higher scoring the data asset gets. For more information about scoring, see the Search for Data article.

To edit the weight of an asset type, perform the following steps:

  1. Navigate to Administration.

  2. Go to Asset Configuration > Asset Types.

  3. Select the desired asset type for which you want to edit the Weight.

  4. Change the Weight of the asset type.

  5. Select Save.

Assign a Custom Field to an Asset Type

This section contains information about how to assign different types of custom fields to an asset in the Connect data catalog.

Prerequisite

A custom field must already exist in order to be assigned to a specific asset type. Go to Create a Custom Field for more information.

  1. Navigate to Administration.

  2. Go to Asset Configuration > Asset Types.

  3. Select the required asset type you want to assign to the customer field by selecting Add Custom Field.

  4. Assign your custom field to the asset. You can assign multiple custom fields.

  5. Select Save.

Custom Field Position

Specify where the custom field is supposed to be placed on a data asset page.

  1. Navigate to Administration.

  2. Go to Asset Configuration > Asset Types.

  3. Select the asset type for which you want to edit Custom Field Position. Select the name of the current position to edit.

  4. Choose whether the custom field should be placed before or after the selected field.

  5. Select the field to specify the position of the custom field.

  6. Select OK to confirm.

Custom Fields

A custom field is an attribute assigned to an asset, such as a data source, workflow, or report. This attribute helps to specify what the asset is.

Some attributes can be applied to any asset and some are related only to a specific types of an asset. You can create a completely new attribute, assign it to a specific asset type, and set its value. Custom fields are stored in the Connect data catalog.

Types of Custom Fields

There are several types of custom fields:

  • Dropdown: A pre-defined list of hard-coded values. You can define the values while you create the custom field.

  • Picker: Similar to the Dropdown custom field, except that values are populated from the content based on a search query.

  • Text field: Information that can be entered only as plain text.

  • Link field: Information that behaves as an active HTML link. You can add a label and link.

Create a Custom Field

To create a custom field:

  1. Navigate to Administration.

  2. Go to Asset Configuration > Custom Fields > Add Custom Field.

  3. The Custom field window displays. Specify the Name and Type of the custom field.

  4. Select either the Picker, Dropdown, Text,or Link custom field type.

  5. Optionally, you can specify the following for all custom field types:

    • Visible when empty: You can specify if the custom field will be visible when empty by checking the Visible when empty box.

    • Can Be Loaded: You can enable the change of the custom field value only by metadata loader by checking the Can Be Loaded box. When checked, users can't change values of this custom field.

Create a Dropdown Custom Field

  1. Enter a Name for the custom field.

  2. Select Dropdown as the Type in the dropdown list.

  3. Specify the Dropdown value(s). If you don't specify the Dropdown value(s), the custom field will not work as intended.

  4. Select Save.

Create a Picker Custom Field

  1. Enter a Name in the custom field.

  2. Choose Picker as the Type.

  3. Multiple selection: Optionally, you can specify if the Picker custom field should have multiple selections by checking the Multiple selection box. If checked, you can assign multiple items to the asset.

  4. Is inline editable?: Optionally, you can specify if the field should be inline editable by checking the Is inline editable? box. If checked, you can assign a value to the custom field without editing the asset.

  5. Specify the Picker Query. If you don't specify the Picker Query, the custom field will behave like the Search field.

  6. Select Save.

Create a Text Custom Field

  1. Enter a Name for the custom field.

  2. Choose Text as the Type in the dropdown list.

  3. Select Save.

Create a Link Custom Field

  1. Enter a Name for the custom field.

  2. Choose Link field as the Type in the dropdown list.

  3. Select Save.

Set a Custom Field Value to an Asset

This section contains information about how to set a custom field value to an asset.

Prerequisite

The given asset type already has a custom field assigned.

  1. Go to the page of the asset type you want to assign the custom field to.

  2. Select the asset you want to update with the custom field value.

  3. Select Edit.

  4. Go to the Additional Fields section and set the values to the given asset.

    • To set a value for all custom field types without selecting Edit, check the Visible when empty box while creating the custom field. See Create a Custom Field for more information.

    • To set a value for the Picker custom field without selecting Edit, check the Inline is editable? box and Visible when empty box while creating the custom field. See Create a Picker Custom Field.

    • You can choose multiple items for the Picker type if the Multiple selection box is checked while creating the custom field. See Create a Picker Custom Field.

    • You can choose only one option for the Dropdown type.

  5. Select Save.

Search by Custom Field

This section contains information about how to search by the custom field.

  1. Select the Search bar. Choose Advanced Search.

  2. Use the Field selector to search by the custom field and specify your request.

  3. You will see the search result(s) instantly.
