Export Options

Use the Export Options tab on your Preset Report Summary page to effortlessly export your Preset Report into an email, message, or presentation. Export Options use Generative AI to...

  • Convert the key findings of the Preset Reports into your first draft.

  • Tailor the communication to your audience and align it with your objective.

  • Ask for recommendations to suggest to your stakeholders and team members.

Note

This feature has to be turned on by a Workspace Admin.

To turn on this feature for your company...

  1. Go to your Profile menu and select Workspace Admin > Settings.

  2. From the dropdown, select Auto Insights Settings.

  3. Turn on the Export Options feature by selecting Enabled from the dropdown.

Create an Export

  1. To export your Preset Report, go to any Preset Reports and select Export Options. Get started right away if this is the first export created for the Preset Report, or select New export.

  2. Select how you want to present your Preset Report. Options are Presentation, Email, and Message.

  3. Enter or select your audience.

  4. Finally, select Generate.

Tip

To provide more context to your export, give your Preset Report pages customized names (for example, Weekly Sales for APAC by Teams).

Note

Not every slide in the presentation has a chart. Charts aren't displayed in the generated email or message.

Edit an Export

You can edit Preset Report exports within Export Options:

  1. To edit, select the Pencil icon.

  2. These fields are available to edit:

    1. Medium: Select Presentation, Email, or Message.

    2. Length: Adjust how many slides you want for a presentation, or how many characters you want in an email or message. For optimal outcomes in presentations, we suggest you let Auto Insights determine the length of the presentation.

    3. Audience: Enter a new audience.

    4. Objective: Add an objective to set the purpose.

    5. AI-Generated business recommendations: Choose to include or exclude.

    6. Topic: Add your topic to get a more focused result.

    7. Language: Select a language to translate your document.

    8. Tone of voice: Enter tone to add character.

  3. Select Save and regenerate.

Tip

You can customize the PPT templates after you download the presentation using Microsoft PowerPoint or similar program. Go to Microsoft’s article Apply a Template to an Existing Presentation article for more information.

Update

When a Preset Report or dataset is updated, you are notified that the export you created is out of date. To update, select Regenerate export.

Delete

To delete a story created from Export Options, select the trash can icon, then select Delete. You can't recover deleted documents.

What technology powers export creation within the Export Options, and how does it work?

The exports created from Export Options use generative Artificial Intelligence (AI) to generate dynamic content. Export creation uses OpenAI via the Microsoft Azure Cognitive Services. Auto Insights sends an API call each time a user selects Generate. Read more about the Microsoft Azure Cognitive Services OpenAI Service, including the FAQ.

What if my company doesn't want employees to use or send data to generative AI tools?

The can enable or disable this feature by going to the Profile menu > Workspace Admin > Settings, selecting Auto Insights Settings from the dropdown, and using the toggle control. What happens to the exports I’ve created if my company decides to turn off the feature?

Auto Insights keeps the exports. If the feature gets turned on again, the exports will be visible to the users who created them.

How much does it cost to use Export Options?

Nothing extra. It’s included as part of Auto Insights services.

No.
