Folders
Folders allow you to combine both workflow types in a single location and manage access efficiently through folder-level permissions, which are automatically inherited by the assets within.
You can find Folders at the top of the list in the All Asset section. Assets already located inside Folders are not displayed in this section.
To view all available assets, navigate to the app-specific Library section.
Supported Assets
Available in the All Asset section:
Designer Cloud Workflow
Cloud Execution for Desktop (CEfD)
Analytic App
Permissions and Ownership
Any user can create a Folder.
Admins have read and delete permissions for any Folder within the workspace.
Only the Owner of a Folder or an Admin can delete it.
Moving Assets to Folders
Supported assets can be moved to Folders only from the All Asset section.
To move an asset to a Folder, you must have following persmission:
Asset Editor Permission
Folder Editor Permission
To move the asset to a Folder, use the 3-dot menu and select Move option. Select the folder in the Move dialog (you can see only Folders that you have access to).
A user moves an asset (including shared assets) to a Folder and the asset becomes visible in the Folder.
If the asset is later unshared with the user, it will disappear from the Folder view for that specific user.
Folder sharing
Folders are treated as sharable assets. Only users with sharing permissions for a Folder can share it. Folders can be shared with individual users or User Groups. Users receive an email notification when a Folder is shared with them.
There are following sharing persmissions:
Viewer: Can read the Folder and its assets.
Editor: Can read, update, and share the Folder and its assets.
Dependencies of shared assets (related workflows, datasets) are not automatically shared. You need to explicitly share any dependencies required to work with the assets.
Assets inside shared Folders inherit the Folder's sharing permissions and when a Folder is unshared, all its assets are automatically unshared for the user.
User A shares Folder A with User B (Viewer permission). If Folder A contains Asset X, User B gains Viewer access to Asset X automatically.
If a user sharing the Folder (User A) lacks sharing permissions for some assets inside the Folder:
Only assets to which User A has sharing permissions are shared.
For other assets, a Request to Share notification is sent to the respective asset owners.
User A unshares Folder A with User B. User B loses access to all assets in Folder A.
If User A doesn’t have unsharing permissions for some assets:
Only the Folder and the assets User A controls are unshared.
For other assets, a Request to Unshare notification is sent to the respective asset owners.
Removing Assets from Shared Folders
When an asset is removed from a shared Folder, it is automatically unshared with users who have access to the Folder.
Folder Deletion
Only the Owner or an Admin can delete a Folder.
When a Folder is deleted:
Assets that the user has delete permissions for are also deleted.
Other assets are moved to the root folder, and a Request to Delete notification is sent to their owners.
